Privacy Policy
Last updated: 25 October 2026
This policy explains what information VeloVoice ("we", "us") collects, how we use it, and the choices you have. We have tried to keep it short and in plain language.
What we do
VeloVoice provides an AI voice agent that calls new business leads within seconds of them coming in, asks a few questions to qualify them, and books appointments.
What we collect
- Information you enter in forms. For example your name, phone number, email address and business details.
- Calls. Calls made or received by our AI agent may be recorded and transcribed. The AI tells callers that it is an AI.
- Basic technical data. Such as your IP address, browser type and device information, collected when you visit our website.
- Public business contact details. Such as an email address or phone number listed on a company website.
How we use it
- To provide the service, including making calls, qualifying leads and booking appointments.
- To respond to your enquiries.
- To keep our systems and users secure and prevent misuse.
- To improve the service.
We do not sell personal information.
Service providers
We use trusted third-party providers to run the service. They process information only to provide their services to us. These include providers of:
- Telephony (making and receiving calls)
- Speech (speech-to-text and text-to-speech)
- Language models (powering the AI agent's conversation)
- Hosting
- Scheduling (booking appointments)
Google user data
We use a private, internal tool that connects only to Gmail accounts owned by VeloVoice. It is not offered to the public and does not access anyone else's Google account.
Scopes we use and why
- gmail.readonly — to check mailbox health, such as bounces and replies, and to see which emails were already sent.
- gmail.compose — to create, update and send our own outreach emails.
How Google user data is handled
- It is not shared with or sold to anyone.
- It is not used for advertising.
- It is not used to train generative AI models.
- It is not read by anyone except the account owner.
VeloVoice's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
Retention and deletion
We keep personal information only as long as we need it to provide the service, respond to you, or meet legal obligations. You can ask us to delete your information at any time by emailing karanjindal.media@gmail.com, and we will delete it unless we are required to keep it.
Your choices
- Emails: reply "stop" to any of our emails and we will stop emailing you.
- Calls: tell the AI agent you do not want to be called, or email us, and we will add your number to our do-not-call list.
- Access or correction: email us to ask what information we hold about you or to correct it.
Security
We use reasonable technical and organisational measures to protect personal information, such as access controls and encrypted connections. No system is completely secure, so we cannot guarantee absolute security.
Children
Our service is not directed to children under 16, and we do not knowingly collect personal information from them. If you believe a child has given us information, please contact us and we will delete it.
Changes to this policy
We may update this policy from time to time. When we do, we will change the "Last updated" date at the top of this page.
